Every question moves through the same three steps, and every session lands in Reporting as answered or unanswered — with unanswered questions queued for your team until they are addressed.

    An approved answer matched

    Your team wrote it, your team approved it, and it is served word for word. Nothing is paraphrased or improvised.

    Generated answer

    Composed strictly from your sources

    No approved match, so an answer is generated only from your uploaded files, scraped pages, and documents — with the passages it used cited. If your sources can't support an answer, it refuses rather than guesses.

    Unanswered

    Handed to your team

    When nothing servable exists, your escalation rule takes over — an email address, phone number, support form, or custom link — and the question stays unresolved in Reporting until you approve a Q&A for next time or mark it resolved.

Questions matching an excluded topic skip self-service entirely and go straight to your escalation path.

Security and privacy

Built to protect customer data by default.

Everything above only works if the data underneath is protected. This is how VectorFAQ treats yours.

Protected customer data

All connections use TLS 1.2+ in transit, and uploaded files, Q&A repositories, URL indexes, endpoint instructions, and customer configuration are encrypted at rest with AES-256. Portal sessions use httpOnly cookies with access controls throughout.

Separated knowledge sets

Each managed endpoint is configured around its own customer data so one customer's retrieval content is not used to answer another customer's users.

Limited VectorFAQ visibility

VectorFAQ is designed so personnel do not see who a customer's end users are or what actual questions they ask unless the customer approves access.

Customer-controlled review

Customers control endpoint instructions, excluded topics, approved Q&A, and whether VectorFAQ may review raw questions for support, troubleshooting, or configuration.

Data retention and portability

Your knowledge stays yours. Request an export or deletion of your organization's Q&A and knowledge data at any time and the VectorFAQ team will fulfill it.

No model training on your data

Your data is never used to train AI models. Content is used for retrieval only, scoped to your endpoints, so your knowledge answers only your users' questions.
